Treat the Print Proof as a Reading Copy

Read the object

A proof is the first moment page, binding, cover, paper, and sequence make one object. Begin before the checklist: hold the cover at arm’s length, then turn every page. Notice a false running head, an awkward page turn, a line that vanishes into the gutter.

For a 220-page essay collection, inspect cover, spine, title and copyright pages, contents, openings, notes, index, and final blanks. Mark locations with removable slips. Memory becomes unreliable after an evening of proofing.

Separate causes

A misspelled place name belongs on a manuscript list. A dark photograph, missing folio, blank page in the wrong place, or off-centre spine belongs on production list. Test one representative spread for each design: prose, opening, quote, table, image, note, appendix, index.

Close the loop

Log location, observation, correction, owner, and pagination effect. Compare revised PDF with the proof and request another physical proof after layout or cover changes. This cannot promise a faultless run, but it leaves a readable approval trail.

Specific production checks

Perform a thumb test on the opening, middle, and final signatures: do repeated folios, running heads, and margins remain consistent? For a photograph-heavy book, compare a proof image against the approved screen file under neutral light and flag detail lost in shadows before approving a run.

Read one full chapter aloud from the physical proof. This exposes punctuation lost at line breaks, a dropped paragraph, and headings that do not announce themselves. Then inspect the spine only after the page count and final paper specification are stable.

Compare the marked proof with the corrected PDF before releasing it to prevent a fix in one format being mistaken for a fix in both.
