Metadata Updates Need a Propagation List

A controlled method for carrying a legitimate product correction through the systems that display a book to readers and trade partners.

Find the canonical brief

Use one product brief as the canonical record. When a subtitle, contributor credit, format, accessibility fact, price, or publication date changes, record old value, new value, reason, approver, source file, and effective date.

For a corrected contributor surname, search the distributor, retailer pages, author site, press kit, library-facing record, social post scheduler, and file metadata. Each is a separate destination.

Send and verify

Update the upstream system first where possible, then submit each necessary downstream correction. Record submission date and actual displayed result. Do not mark a task finished because a form was saved; wait until the record you can inspect is accurate.

Keep old claims from resurfacing

Retire cached press materials, captions, preorder graphics, and downloadable PDFs that repeat the former claim. If a platform cannot change a field, record the constraint and give reader support a plain answer.

Specific production checks

Use a “last verified” column, because changes do not appear everywhere at once. For a price or release-date change, capture the old visible listing before correction, the upstream submission, and the eventual display. This distinguishes a delayed feed from an incomplete request.

When a new edition replaces an old one, check that cover image, ISBN, format, and description still travel together. A correct new subtitle paired with the old interior is a reader-facing error even if each field was individually accepted by a portal.

Keep the distributor ticket or confirmation beside the brief, since an apparently correct portal screen may not show the record sent onward.
