The source should not multiply
Zotero’s documentation explains that the same item can belong to several collections without becoming several items. Its playlist analogy is useful: a source about an author’s correspondence might belong to a chapter collection, a chronology collection and a project-wide evidence group at the same time.
That model can reduce accidental duplication. If a bibliographic correction is needed, the writer should not have to locate five independently copied records and hope each is updated. The underlying item and the groups used to find it have separate jobs.
Use tags for a second question
Collections can reflect chapters or projects. Tags can record another dimension, such as “read,” “quotation checked” or “needs edition verification.” The documentation supports filtering by tags and describes saved searches. Those mechanisms organize attention; they do not verify a source simply because it has been filed.
Keep status labels explicit. “Read” and “supports this claim” are not equivalent. A document can be thoroughly read yet fail to substantiate the sentence beside its citation. A short note linking the relevant page to the actual claim supplies the missing relationship.
An example at the desk
Suppose a letter belongs in both a biographical chapter and a discussion of publication history. Keep one bibliographic item. Add it to both chapter collections, then write separate notes explaining what each use relies on. Record any uncertainty about the date or transcription once, where both notes can lead back to it.
Before handing over a chapter, follow three citations from final prose to the source. If the chain ends at a tag rather than a passage, finish the verification. An orderly library is valuable because it makes that check easier. It should never create the appearance that a check has already happened when all that has happened is filing.
