Separate the jobs

Give the manuscript, evidence, and production files different homes. A manuscript is the approved expression. A research library holds sources, notes, quotations, and retrieval details. Production files turn the approved manuscript into print, ebook, audio, or web outputs. A chat, browser tab, or generative-tool project can help explore a question, but it is a poor sole archive for any of those jobs.

Choose tools by the work they must preserve rather than by a general claim that a product is best. A novelist may need scene order and a continuity record; a nonfiction writer may need page-level source notes; a team may need change tracking and a clean handoff. The useful test is simple: can another responsible editor find the approved text, identify the supporting evidence, and tell what changed?

Drafting, planning, and the editor’s copy

Start with the handoff. If the next reader needs tracked changes, a scene planner or a synchronized folder will not by itself supply that review process.

Translation, narration, and visual assets

These services work on another version of the book: a translated text, a performance, or an image. Give that version its own brief and reviewer. Plan for a translator’s editorial pass, pronunciation and performance checks with a narrator or studio, and a designer’s assessment of image and page requirements.

Build a claim route

For factual work, make a small claim ledger before drafting at scale. Record the claim, its source, a pinpoint such as a page or section, the date retrieved, and the status of the check. Mark whether a sentence reports a source, draws an inference, or gives an editorial recommendation. This keeps a persuasive paragraph from acquiring more certainty than its evidence supports.

Use AI search and summaries to find candidates, terminology, counterexamples, and questions. Then open the cited material and keep the bibliographic record. Zotero collections can place one item in several project views while maintaining a single library item, which is useful when a source serves more than one chapter. A collection system organizes evidence; it does not verify what a source says.

A small stack for the actual book

For a first novel, start with Word or Scrivener and a recoverable editorial copy. Add Plottr or Aeon only if planning or chronology is a real difficulty; add a fiction assistant only for a defined exploratory pass. A developmental editor, copyeditor and cover designer still have separate questions to answer before Atticus, Vellum or Reedsy Studio produces the edition.

For research-heavy nonfiction, put Word or Docs beside Zotero and a local evidence folder. Keep a claim ledger with page-level references, then send the manuscript through a subject reviewer and copyeditor. A researcher’s summary and the source itself should remain distinguishable all the way into layout and metadata.

For a poetry chapbook, choose a drafting tool you can export from and work with an editor who attends to the line. Ask a designer to test line breaks, white space and page turns in print and in any proposed ebook. For a picture book, keep text, illustration briefs and art direction connected; proof a complete spread and the digital reading order before committing the whole edition.

For serial fiction, keep a continuity record beside versioned installment files. Mark what readers have already received before revising the canon, and keep release scheduling separate from drafting. For a business book, use the team’s approved document and research systems, identify the subject-matter owner, and plan factual, brand and legal review where the material requires it.

A student should begin with the institution’s rules; a journalist with the newsroom’s source-handling and tool policy. A screenwriter needs a screenplay workflow and script editor, with any AI critique kept as questions to test. An editor needs a style sheet and an explainable change record. A publisher should settle access, retention, disclosure and approval responsibilities before selecting services for a team.

Make versions recoverable

Name substantive versions plainly: draft, editor-returned, approved manuscript, proof corrections, and delivered file. Save an export whenever a major decision is approved, then retain the source file that produced it. A version is not merely a backup; it is the record that lets a later correction distinguish a changed sentence from a changed edition.

Before a handoff, give the next person one short brief: which file is canonical, what is still open, which sources need checking, and which alterations need approval. This modest discipline helps a writer use many tools without letting any one interface become the only place where the work can be understood.
